Communication is at the core of every type of relationship, whether it is a personal or professional one. Improving your communication skills will make a massive difference in your career and your personal life.
In episode one of our Lessons Learned series, I shared how important communication is and its impact on my life once I improved my communication skills. Let me now share some tips on how you can become an excellent communicator.
Listen, listen and then listen some more. Effective communication starts with active listening as everyone you communicate with wants to know that you are hearing them, seeing them, and that, at that moment, there is no one more important to you. We will explore the benefits of active listening in episode 2 of our Lessons Learned series.
Give your undivided attention. If, for example, you are talking with someone on the phone, do not respond to an email or send a text simultaneously. If you are having a conversation with someone face to face, don't check your phone or read a newspaper.
Body language matters. Make sure you appear accessible by having open body language. Keep eye contact at all times, and don't cross your arms. Nod or smile depending on the conversation and signal a positive attitude.
Think before you speak. Don't just say the first thing that comes to mind. Breathe and take a brief moment to pay close attention to what you are about to say and how you say it.
Adapt your communication style. It is paramount that you adapt your communication style to the intended recipient of your communication. Depending on what relationship you have with the person you communicate with, make sure you adjust the formality you use.
Be brief and specific. Time is of the utmost importance in everyone's life, and when you communicate something to a person, that person gives you their time. Make sure you use it wisely. If you are not brief and specific, people will lose interest in what you say and will not listen anymore.
Treat everyone equally. Absolutely no one is beneath you, no matter how important your role is or what you have achieved in life. Everyone is equal, and you need to treat them with respect. You'll learn some of the most critical lessons from someone with less life experience or a title that is lower than yours.
Be polite and have a positive attitude at all times. Politeness is essential in communication. To not be polite is unacceptable. Try to smile even when speaking on the phone.
Use the appropriate tone of voice and volume. No one likes people who shout at them, and when that happens, they close off to any communication. Use a calm, clear and confident tone of voice and people will react better to what you mean to say.
Check your message before sending it. When you write something, make sure the spelling and grammar are correct, whether it is formal or informal communication. Make sure the words are communicating what you intend to highlight.
Practice, practice, practice. There is always room for improvement, and there is no such thing as too much practice.
I hope the few tips that I shared will help you in your quest to become an excellent communicator.
